The Human Resources Assistant will assist with the management of the online application process to ensure the timely completion of related new-hire paperwork. Coordinate with HR Manager to maintain efficiencies in HR departmental procedures and processes.

 

General HR Support

  • Execute special projects assigned by the HR Manager.
  • Maintain organized and up-to-date employee files and databases.
  • Order and manage departmental supplies, forms, and materials.
  • Compile reports and correspondence as directed by the HR Manager.

Recruitment and Onboarding

  • Oversee the Applicant Tracking Process in Dayforce:
  • Post job openings internally and externally.
  • Notify workforce agencies of vacancies and assist hiring managers with applicant flow.
  • Coordinate background screenings, clinic visits, and offer processes.
  • Schedule orientations, reserve training spaces, and prepare New Hire packets.
  • Conduct orientations, create employee badges, and organize personnel files.
  • Process job requisitions, transfers, title changes, and pay updates.

File and Data Management

  • Ensure compliance with federal and state laws for all HR-related files:
  • Maintain termination files and I-9s.
  • Update and organize policy acknowledgments and employee emergency contact data.
  • Manage records for FMLA, including LOA Status Reports, healthcare certifications, and RTW documentation.

Employee Engagement and Communications

  • Coordinate monthly communications programs:
  • Update job postings, bulletin boards, and announcements (e.g., new hires, promotions, service awards, birthdays).
  • Plan and execute recognition events and highlight achievements in safety and service.
  • Support employee inquiries on benefits, policies, leave applications, and other HR-related needs.

Meeting and Training Coordination

  • Organize meetings and training sessions:
  • Schedule rooms, order supplies and refreshments, and ensure setup and cleanliness.
  • Collaborate with the HR Manager to address all event requirements.

Leave and Attendance Management

  • Administer the FMLA process:
  • Track employee leave and ensure timely receipt of required documentation.
  • Verify healthcare certifications and eligibility under medical definitions.
  • Communicate leave status updates to management and maintain FMLA logs.
  • Monitor attendance and determine FMLA-related excused absences.

Reporting and Administration

  • Prepare monthly reports (e.g., headcount, FMLA logs, birthday cards).
  • Develop spreadsheets and documents as requested by management.

Safety and Compliance

  • Share safety milestones, awards, and updates via communications channels.
  • Ensure all HR processes align with BEK policies and applicable legal standards.

Job Qualifications:

  • At least 4 years of office experience performing related HR duties preferred 
  • Familiarity with Food Service policies and procedures desired 
  • Outstanding PC skills, with exceptional data entry (10-key by touch and alphanumeric) skills. 
  • Proficient with the use of Internet and e-mail applications required. 
  • Proficient knowledge/use of Microsoft Office applications, including Word, PowerPoint, and Excel. 
  • Ability to learn and use relevant internal applications 
  • Valid Driver’s License required 
  • Bachelor’s Degree in HR or equivalent experience required
